Dashboard Sharing Guide: Internal and External

Share Edilitics dashboards with team members or external recipients. Internal sharing on team plans, OTP-verified external access, addon viewer seats, and revocation.

A saved dashboard can be shared with members of your team or with anyone outside Edilitics using their email address. Only the dashboard creator and superadmins can share or revoke access.


Share Types

Share with any active member of your Edilitics organization. Available on team plans only.

When you share a dashboard internally, the recipient receives:

  • An email notification with a direct link to the dashboard
  • An in-app notification in their Edilitics account
  • A Slack message if your organization has Slack connected

The recipient can open the dashboard directly from any of these. No additional verification is required — they authenticate with their existing Edilitics account.

Share with any email address that is not registered in your Edilitics organization. Available on all plans.

When you share a dashboard externally, the recipient receives an email with a personalized link. The link is specific to their email address — it cannot be forwarded and used by someone else.

What happens when your recipient opens the link:

Each time they open the link, Edilitics sends a 6-digit OTP to their email address. They enter the code to confirm their identity and gain access to the dashboard for 30 minutes. After 30 minutes their session expires. The next time they open the link, the OTP step repeats.

This means:

  • Your recipient will always need access to the email inbox you shared with
  • They will receive a new OTP email every time they open the dashboard fresh
  • If they stay on the page, their session is valid for the full 30 minutes without re-verification

The limit applies to the number of dashboards that can have at least one active external share, not the number of external recipients per dashboard.


How to Share a Dashboard

Open the Visualize home screen. On the dashboard card, click the Share icon to open the Share modal.

The modal has two tabs: Internal and External.

Internal tab: The left panel lists team members you have not yet shared with. Check the boxes next to the members you want to add. The right panel shows who already has access. To remove someone, click the revoke icon next to their name.

External tab: Type an email address into the input field and click the add icon. The address is added to the list. Check the box to select it. Repeat for additional addresses. The right panel shows external recipients who already have access. To remove someone, click the revoke icon.

When your selection is ready, click Share.

Superadmins are excluded from the internal share list automatically. They can view all dashboards in the organization without being explicitly shared.


Addon Viewer Seats

The Viewer + AskEdi addon is an additional seat type available on team plans. Addon users have a reduced scope: they can view dashboards shared with them and run AskEdi queries. They do not have access to Integrate, Transform, Replicate, or the chart builder.

Addon users access shared dashboards the same way as internal users — through their Edilitics account with no extra verification step.

Their AskEdi usage draws from the team's shared credit pool, not a separate per-seat quota.

All addon seats are billed annually.


What Shared Users Can Do

All shared users — internal, external, and addon — have view-only access. If you have configured show filters on the dashboard, all viewer types can interact with them.

Revoking Access

To revoke a user's access, open the Share modal, find them in the Shared With panel on the right, and click the revoke icon next to their name.

  • Internal users lose access immediately. Their next attempt to open the dashboard returns an error.
  • External users whose 30-minute session has not expired can continue viewing until it does. Once it expires, their link no longer grants access.

Revoked users do not receive a notification.
