Workspace and Roles
Understand the difference between Individual and Team workspaces, how roles work in Edilitics, and how access is managed across your workspace.
Your workspace is the environment where all your data connections, pipelines, dashboards, and AI sessions live. Every Edilitics account belongs to exactly one workspace. The workspace type and user roles within it determine who can do what.
Workspace Types
Workspace type is assigned automatically at sign-up based on your email domain. It cannot be changed after the account is created.

| Individual | You sign up with a generic email provider such as Gmail, Yahoo, or Hotmail | One user only. Optimized for solo analysts and independent work. |
| Team | The first user signs up with a corporate email domain (e.g. name@company.com) | Multiple users with role-based access. All subsequent sign-ups from the same domain join this workspace. |
If your organisation uses a generic email provider (e.g. a Gmail-hosted company domain), contact support to discuss workspace configuration options.
User Roles
Team workspaces have three roles. Individual workspaces have one user and no role distinction.

| Admin | Full access to all modules, workspace settings, billing, and user management. Can invite users, change roles, and access all integrations regardless of who created them. The first user to sign up with a corporate domain becomes Admin automatically. |
| Member | Full access to all four modules. Can create integrations, pipelines, dashboards, and AskEdi sessions. Cannot manage workspace settings, billing, or other users' roles. |
| Add-on User | Access to Visualize and AskEdi only. Can view shared dashboards and run AskEdi queries on shared tables. Cannot create integrations, build transformation pipelines, or manage workspace settings. |
How Users Join a Team Workspace
There are two ways users join a Team workspace, depending on the license type.
Members: Request Access
When a user signs up with a domain that already has a workspace, Edilitics shows a Request Access screen instead of creating a new workspace. The user submits a request, which notifies the workspace Admin by email and in-app notification.
The Admin approves or denies the request from Org Settings → Manage Users. Approved users join as Members with a base license.
After submitting a request, the user sees: "Awaiting Approval. Please contact your Workspace Admin to speed up the onboarding process."
Add-on Users: Invitation
Add-on Users join only via direct invitation from an Admin. Invitations are restricted to the Add-on license. You cannot invite a user directly as a Member or Admin.
Open Org Settings
Go to Org Settings from the workspace navigation, then select Manage Users.
Add invitees
Enter the first name, last name, and email address for each person. You can add up to 5 invitations per batch. All email addresses must share the same domain as the workspace.
Send invitations
Click Send Invite. Each invitee receives an email with a link to complete their account setup and join the workspace as an Add-on User.
An Add-on User can later be promoted to Member by an Admin from the Manage Users screen. See Role Changes below.
Changing a User's Role
Admins can change any user's role from the Manage Users screen in Org Settings.
Allowed role transitions:

If a role change affects assets the user owns or has shared access to (pipelines, visualizations), Edilitics will show a dependency summary before confirming. You can choose to share access and downgrade, or delete the dependent assets and downgrade.
Admin Privileges on Integrations
In Team workspaces, Admins always have full access to all integrations, regardless of who created them. Admins can use, edit, delete, and share any integration in the workspace.
Members only have access to integrations that have been explicitly shared with them by the integration owner or an Admin.
